SetOne collects only the information needed to respond to tutoring requests and review tutor applications, and to follow the services provided.
The forms are intended for parents, legal guardians, authorized adults and tutor applicants aged 18 or older—not children.
What we collect
Our forms may collect your name, contact information, grade level, subjects, availability, area and any information you choose to include in your message. After a match, SetOne also keeps the session information needed for operations: the student’s first name, date, duration, format, subject, brief learning update, reported incidents and family confirmation. Billing records also include amounts, statuses, dates and Interac payment references. For shortlisted tutor applicants only, SetOne may also collect a short recorded interview, proof of education, references, an address, a payment email and required tax information. SetOne does not request banking information through the site.
Tutor screening and onboarding
The recorded interview is used only to assess communication, teaching approach, judgment and reliability. It is not analyzed through facial recognition or an automated decision system. During the brief live validation, SetOne may ask to view identification but does not retain a copy, photograph or identification number. References and a police check are requested only for conditionally selected candidates and with consent. A SIN or business number needed for tax records is encrypted before storage and remains masked in the dashboard.
Why we use it
This information is used only to respond to your request, propose a suitable match, organize services, follow progress, verify sessions, and calculate family billing and tutor compensation. SetOne does not sell your information.
Private follow-up and billing links
Tutors and families may receive private links to report or confirm a session and to view an invoice, receipt or payment statement. These links must be kept confidential and may be replaced or revoked by SetOne. They avoid requiring full user accounts during the launch phase.
Access and retention
Requests are kept in a private space accessible only to the person responsible for SetOne and, when necessary, authorized people involved in processing the request. Each tutor or family receives only the access needed for their own match, session or payment document. Information is deleted when no longer needed, subject to applicable record-keeping obligations. Candidate videos are normally deleted within 90 days after the decision. Police-check documents are deleted after review, and only the necessary conclusion is retained. Tax and payment records may be kept for the period required by law.
